the opportunity

this position provides executive support to a c-level executive. it involves interacting with employees at all levels within the division and across the company and offers an overview and insight into the business.

 

primary responsibilities:

  • support c level executive in day-to-day tasks
  • anticipate potential obstacles and roadblocks and plan ahead to ensure deadlines are met
  • oversee extremely active and complex calendar, day-to-day schedule, and special events
  • provide meeting support through booking and preparing meeting rooms, taking notes, setting up video conferences/phone calls, and following up on all action items
  • schedule domestic and international travel, create detailed itineraries, code invoices, and report expenses utilizing sap concur
  • support in the arrangement and preparation of materials for board meetings - manage yearly events, with an average of 200 attendees, purchasing gifts, creating invitations, overseeing budgets, and hiring vendors
  • use hr systems to approve talent acquisitions, onboard c-suite employees, and train new assistants in the operations division
  •  

    required qualifications:

  • 3 - 5 years experience supporting a c-level executive, ideally for a large organization
  • strong scheduling, calendaring, and expensing experience
  • high level and professional attitude and tone and an innate understanding of the day-to-day requirements of a c-level executive
  • ability to work in a high volume position and ensure deadlines are met
  •
