Clerical-executive assistant - united states, portland

adecco is seeking an executive assistant for a client in portland, or

responsibilities:

  • manage manager’s calendar and independently schedule appointments.
  • organize meetings / books conference rooms / arrange food /take and distribute minutes from meetings when requested.
  • coordinate travel arrangements for svp, construction. this includes flight arrangements, hotel and rental car arrangements for both domestic and international travel; work with assistants at other locations to organize travel between countries for employees.
  • order equipment for the svp, construction.  
  • provide executive assistant support for not only the svp, but for anyone else needing assistance.
  • screen incoming calls and correspondence and respond independently when possible
  • provide project coordination and administrative support for strategic initiatives within the construction organization.
  • prepares periodic progress and cost reports for leadership with support from the segments within the construction department.
  • process confidential and critical information on a routine basis with discretion, support with documents and presentations, and cross-functional work in support of team needs.
  • assist with maintenance of construction documentation and reporting systems.
  • approve and create po’s for the svp and the construction group.
  • performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • create high level and dynamic presentations (powerpoint), spreadsheets, etc. for the svp, construction.
  • and all other duties as assigned
  • essential functions:

  • proficiency in microsoft office suite computer skills (windows, word, excel, power point, outlook).
  • ability to implement processes to efficiently conduct required administrative or coordination duties.
  • able to complete responsibilities in a timely, professional and quality manner
  • ability to interact frequently with others in a professional, courteous manner
  • flexibility with daily tasks and changing priorities
  • ability to maintain confidentiality
  • education, training, and skills required:

  • associate degree - bachelor’s degree in business or a relevant field preferred.
  • 2+ years of experience with project coordination or 5+ years of equivalent administrative experience – construction experience preferred.
  • intermediate to advanced skills with microsoft office (excel, word, powerpoint, visio and outlook)
  • excellent writing, editing, proofreading, and verbal communication skills.
  • general understanding of construction projects
