position summary:
under the supervision of the assistant food service director, oversees all aspects of service at catered events. participates in and oversees work of the wait staff in providing high quality, formal service to residents, guests, family members and staff members of royal oaks in all of the dining areas and catered events.

- 2 direct reports

event planning:
responsible for the planning and execution of events for residents, guests, family members, and staff members.

helps to implement, and manage catering software tracking system for ordering, analyzing events, costing, and staffing levels. uses an effective tracking sheet that is submitted weekly and when new/canceled events are updated. fill out tracking sheet completely.

customer service:
responsible for being available to the residents, guests, family member or staff member at all times during the event. check in with the person periodically during the event. if the staff falls behind, the catering manager should help the service staff.

receive and responds to feedback of catered events within 24 hours to the person.

decorating:
responsible for the appearance, cleanliness and proper set up of the catered event before and during the event. assist in the setup, execution and breakdown of special events. inspecting and maintaining table set ups for cleanliness and neatness. work with the person to determine how many people are attending each event and what type of seating they would like. design a room layout for the person to meet their needs and any entertainment needs, such as having a dance floor available or setting up equipment for audio visual presentations during the event.

menu planning:
work with both the chef and resident, guests, family member or staff member to choose a proper menu. you should have a list of foods and beverages that can be created along with the pricing.

scheduling:
responsible for the daily operations of the catering department. you are responsible for interviewing, hiring, performance evaluation, counseling, training and scheduling of staff to work events. must make sure you have enough staff to work the event.

ensure a high quality of customer service, teamwork, and responsiveness addressing and resolving resident, guests, family members and staff member issues. integration and communication with all departments, with emphasis on customer service.

schedules staff members based on catering events, while controlling labor and overtime costs. responsible for staff member time and attendance input for proper allocation of working catering events.

ensures that appropriate sanitation, organization, and safety standards are met through the use of checklists, hands-on supervision, and follow-up.

implements standard work procedures and duties for the catering staff on proper use of catering operations such as setting up, serving, cleaning duties, and tearing down of events. responsible to verify staff has the proper event schedule, information for the event, and equipment used to perform the event.

administration:
creates and manage the catering budget while meeting budget guidelines. prepare final budget documents with justification for the assistant food service director, food service director, and cfos approval. required to manage the department within the approved annual catering budget.

prepare, costs, and distribute the function sheets, invoices for proper allocation for all special events to the various areas in food service and update with any necessary changes as needed. completes follow up on all catering events within 48 hours of the event with all departments involved.

be prepared to discuss 2 to 3 weeks of upcoming special functions at all weekly manager meetings. information provided should include menu, number of attendees, special requests and service staff needs. have weekly meetings with the chefs to discuss upcoming events and ensure there is clear communication.

develop catering book and keep current with pricing and a variety of seasonal offerings for resident selection and in house.

maintain cleanliness and good condition of all catering equipment. storage areas must be clean and organized. keep adequate inventory of utensils, small wares, and linen to meet the needs of a variety of special functions.

keep other food service management team members promptly and fully informed of all matters of significance. makes recommendations to the food service management team regarding catering events and dining room service affecting the service staff, residents and guests.

consistently comply with maricopa county environmental services and arizona state department of health service standards. ensures the safe and proper handling of all food items according to haccp. adheres to safety practices and procedures.

maintains confidentiality for residents to meet hipaa guidelines.

exhibit qualities of a team player with patience and concern for the needs of the elderly and a positive attitude while interacting with residents, guests, families, and co-workers.

attends and participates in training activities, meetings and seminars and assists other departments as needed.

knowledge and skills:
extensive knowledge of event planning and catering requirements.
extensive knowledge of food hygiene
extensive knowledge of catering and food and beverage service in dining environment
good understanding of maricopa county food regulations, sanitation guidelines and safety compliance.
is highly proficient with microsoft word/excel, outlook and other catering software
is organized, able to multi-task, think creatively and adapt to different situations.
excellent organization and time management skills
ability to remain calm and make quick decisions under high pressure circumstances
flexible to work during evenings, weekends and holidays
strong attention to details and meeting deadlines

education and experience:
high school diploma or ged equivalent required.
knowledge of electronic catering management systems
three or more years of experience in hiring, training and overseeing service staff
three or more years as a catering manager, restaurant manager, or caterer
three to five years of catering, upscale dining table service, and food service cost management experience that would ensure the effective execution of the duties of the job.
has cpr and first aid certification card or can obtain them within 30 days of hire.
has manager serve safe certification or can obtain within 90 days of hire and maintain.
ability to learn and adapt quickly to new computer software
ensures competency in the position is maintained through continuing education.
must have valid arizona driver’s license in good standing.

communication skills:
has a clear speaking voice, and is fluent in english.
has ability to speak, work, and interface with all levels of co-workers, residents, guests, and staff members.
has ability to write routine reports and correspondence.
demonstrates excellent customer service etiquette.

supervisory responsibility:
supervise non-exempt staff.
is able to organize and complete tasks proficiently.
has the ability to successfully deal with any situation that may present itself with a resident, guest, co-worker, or staff member.
