the sales administration assistant is the first level of interaction with our sales executives and leaders. the position's focus is to provide the highest level of customer service while assisting in day-to-day front line and in house sales administrative duties.



position summary:

book all business travel arrangements for vice president of sales. maintain, accurately and in a timely manner all expenses for the vp through concur. ability to coordinate and complete assignments from the beginning to completion. prepare for and assist the vp of sales and/or director of sales (dos) with a variety of correspondence and reports for sales team. supports the high-level leadership in creating and typing of sales memos, and distribution. prepare templates and update regularly all schedules for the sales departments and ensuring proper distribution. coordinate and handle the meeting process; booking of meeting location, sending meeting planners to attendees, requesting any it assistance and ensuring all other needs are met for meeting set-up. update attendance points for all sales positions, attendance logs as well as prepare and ensure proper distribution of attendance warnings. obtain missed punch information to enter timesaver for sales as well as any paid time off requests. additionally, responsible for reporting and submission of various payroll items (i.e., aux to pay) prepare paf emails for human resources, sales management, broker and business management of all transfers and terminations. assist the sales training department in creating the monthly al & ih training calendars and training attendance sheets and distributing. prepare and/or lead sales correspondence, memos, schedules, performance, attendance warnings and all-time critical materials (i.e., career). prepares and distributes the monthly rotation lists. run sales vpg numbers for all rehires at the request of the recruiting department. prepare, coordinate and facilitate all monthly/ quarterly sales awards ceremonies (i.e., bi-annual breakfast, agenda, ordering of trophies.) receive and acquire back-up, approval signatures from on all fdi and submit to business management for processing. request new user access for director of sales (dos), sales manager’s, sales leaders, owner relation specialists and all sales executives’ as well as any system modification requests and user terminations/off boarding. carry out all other reasonable request by management. qualifications



outstanding candidates we’re looking for:

high school graduate or equivalent

at least 1-3 years of administration experience

able to work a flexible schedule including weekends

ability to optimally communicate in the english language (written and verbal). to read comprehend simple instructions, short correspondence and memos

strong dedication to the consistent delivery of quality guest service



 

preferred qualifications:

bachelor's degree

ability to work independently to meet required duties

proven track record to prioritize responsibilities

3-5 years related experience
