purchasing assistant

the purchasing assistant is responsible for assisting the director of materials management in the supervision and the management of the materials management operation. the assistant will input orders and receive supplies and equipment from the hospital and surrounding clinics and conduct sound inventory management techniques and customer support operations for the department. performs other related duties as assigned or requested. this is a non-exempt position.

responsibilities

purchasing support essential functions

• accurately maintains computerized inventory system by entering receipts, items issued to other departments, adjustments, additions, deletions, price changes and/or other data.
• accurately bills requested supplies; assures the accuracy, completeness, and timeliness of charge capture, per system, facility/department policies and procedures.
• prints labels for patient chargeable items; runs various reports; maintains item master file.
• assists in ensuring all special purchase request forms have been approved by the hospital administrator or designee.
• assists in placing orders with approved vendors from special request form (spr) or cs items, verifying pricing.
• assists in noting prices and availability on to special purchase request form (spr) and routes spr copies and purchase orders according to purchasing policies.
• assists in receiving materials (supplies) when deliveries are made. verifies actual quantities received to packing slip and packing slip to purchase order as well as pricing when available.
• assists in reporting discrepancies, i.e. shortage or damaged items.
• assists in delivering material to ordering department..
• routes outgoing mail to department indicated, ships various packages for departments
• assists director by delegating and prioritizing tasks to staff.
• supervises staff when director is absent. is on call during that time. the director will be available via cell phone or pager.
• provides backup support for other positions in the department and in the absence of the manager, provides staff supervision and department management.

inventory management essential functions

• conducts monthly, annual, and special inventories as required by the director or the corporate office.
• verifies shelf quantities against existing database for accuracy of supplies charged.
• checks carts for accuracy prior to delivery on the wards. also, checks return carts for usage verification.

qualifications

education and training: must be high school graduate or ged equivalent.

experience: two years experience in inventory control and hospital purchasing preferred. computer experience is preferred. training is provided.
