materials manager

the materials manager is responsible for ensuring patient-issue stock levels are maintained and that other system requests are completed in a timely manner. the materials manager will also follow established post acute medical system, hospital, and departmental policies and procedures when performing any assigned job responsibilities. the materials manager is responsible for supervising the materials staff. performs other related duties as assigned or requested. this is an exempt position.

responsibilities

purchasing and central supply

• approves and processes purchase orders and returns for both inventory items and special purchases, according to post acute medical (pam) policies and procedures. advises departments when special item orders are placed. negotiates competitive pricing with local vendors. reviews choice of supplies for cost and quality. reviews medical supply choices with director of nursing. obtains best price and service available.
• assists other managers in preparing special purchases (price vendors, etc.) and routes requisitions for proper authorization prior to purchase.
• assures the accuracy, completeness, and timeliness of charge capture per system, facility, and departmental policies and procedures.
• maintains inventory in the computer. assures all items received and dispersed through the system are accounted for properly. conducts inventories in accordance with policy for established frequency and accuracy.
• supervises materials management personnel.
• assures all non-system generated purchase orders are sent to accounts payable for matching with invoice for payment. all paperwork should be complete with pricing.
• reconciles invoices against purchase orders in a timely manner.
• ensures that all moveable assets are tagged with hospital identification tags.
• maintains stocking levels so as to minimize the value of inventory but ensure prompt delivery of supplies without running out of critical items.
• advises vice president of procurement of any price changes affecting the patient charge master.
• works according to established policies to minimize inventory growth.
• performs other projects and completes reports as required by the hospital ceo and/or the vice president of procurement.

qualifications

education and training: high school diploma required. a hs graduate who has taken courses in business administration or who has a degree in business administration preferred.

experience: two years of experience in some phase of purchasing required. one to two months of on-the-job training is required.

knowledge, skills, and abilities:

• ability to work from written and oral instructions.
• ability to successfully complete all training relative to purchasing, communications, and simple computer operations.
• ability to perform other designated tasks with appropriate cross training.
• ability to coordinate a variety of requests to ensure task completion, effectiveness and efficiency.
