core responsibilities:
• engage regularly and work collaboratively across the corporate finance team to help facilitate and support monthly, quarterly and/or annual finance and investor relations processes in an accurate and timely manner.
• effectively manage, coordinate and organize daily and recurring activities of the svp, finance & cfo and other department heads (namely, investor relations and financial planning & analysis). effectively coordinate and manage key aspects of the leaders’ standard work process to ensure timelines and are met. this may include effectively managing the preparation, scheduling, and distribution of various materials to efficiently execute monthly, quarterly and/or annual reporting requirements and deliverables as well as calendar management and domestic and international travel planning.
• prepare a variety of senior level presentation materials with minimal instruction and supervision including assisting with preparation of board meeting materials, investor relations pitch books and marketing materials using microsoft word, powerpoint, and excel. serve as back up to corporate legal function for 3rd--party board portal system.
• support investor relations function - assist in planning, scheduling, and executing investor meetings, road shows and conferences with a goal of ensuring smooth and productive meetings with investors and analysts.
• prioritize projects and deliverables, pro-active in nature and able to bring issues to completion on time.
• assist in the execution, organization and tracking of company finance documents and associated filings.
• arrange c-level meeting logistics as needed, including the use and set-up of conference calls, webinars, video, etc. via ms teams and outlook.
• assist the cfo and team with the preparation and management of the corporate department budget.
• develop and maintain procedures and processes for finance department and support additional ad hoc projects as needed and assist with and drive process improvement initiatives within the department.
qualifications:
• 5+ years’ experience providing executive (c-suite) level support in a public company.
• experience coordinating and managing logistics for domestic and international meetings/conferences.
• advanced knowledge of microsoft office (outlook, word, excel and powerpoint), sharepoint, third party vendors, board portal, e-billing systems, and ms teams.
• a team player with excellent customer service and communication skills. self-motivated, self-directed and organized. excellent time management and follow-up skills. works calmly under pressure and effectively manages multiple workstreams and tasks. assertive approach to management of executive's time and proactive communication/support when meetings or other activities change. takes the initiative where appropriate, and looks beyond the immediate ask to anticipate future needs or requirements. recognizes priority, understands the complexity of a situation / interdependencies, and uses sound judgment to make decisions. is motivated to think outside-of-the-box, while holding themselves accountable to achieve desired results and outcomes.
• strong analytical and problem-solving skills. high level attention to detail and accuracy is required.
• outstanding written and verbal communication skills. capable of developing presentations, letters, memos and other correspondence on behalf of cfo, or other finance leaders.
• proven ability to handle/maintain confidential information with utmost discretion and sensitivity. exercises good judgment and diplomacy.
education requirements:
• bachelor’s degree in finance, accounting, economics, business management or communications is required.
