document control and training administrator

location: bedford, massachusetts

duration: 12 months

description:

schedule: m-f 8:00am - 5:00pm

this is an onsite role with 3 days a week on bedford and the other 2 days at woburn.

travel requirements:
travel may be required for auditing purposes.
the position will be located in bedford. you will need to travel 2x/week to woburn.

scope of position:
as the document control and training administrator, you will manage the document control system for the bedford and woburn facilities following established procedures, policies and regulatory requirements to ensure compliance throughout the document life cycle (creation, revision, approval, release, archival and destruction). this role will be responsible for creating and processing various change controls for all aspects of cls, woburn, and bedford facilities. in addition, this role is responsible for managing the training program to ensure training requirements are created and maintained accordingly, and training assignments are completed by all functions at cls, bedford, and woburn in a timely manner. other comparable duties will be assigned as needed. this position reports to the quality manager and interacts with all levels of the bedford and woburn organization, and within the cls division.

day to day responsibilities:
works with primary originators of documentation to translate the documentation into written form following good documentation practices.
demonstrates ability in the application of requisite skills and applies additional skills and knowledge acquired through experience to perform the more complex tasks of the position.
processes and controls the documentation for facilities, processes, and systems as the need arises by the current regulatory requirements and company policies.
create and process various change controls for all aspects of the facilities.
work with all departments to ensure change controls are processed in a timely manner.
support new product launches by creating change controls to upload new documentation into the document control system.
ability to provide support for the quality specialists/engineer in bedford and woburn
coordinates with all supervisors/managers across both sites to ensure compliance with the training procedure.
create new hire profiles and conduct required the pieces of training that are important for their job function.
create and maintain training requirement groups dependent on employee and job functions.
inactivates profiles when the employee no longer works for client life sciences at bedford and woburn
develops, coordinates, schedules and maintains all training courses and programs
ability to develop or assess materials that will help employees understand the matter being taught and the ability to understand the needs of the employees to determine what approach will work best to retain the material.
schedules and coordinates all classroom training with managers and supervisors schedules location, date/time, materials, and attendance.
provides support during external audits, responds to customer helpdesk tickets, performs and handles projects as required.
provide required metrics for operational reviews, management reviews or other purposes as required by the quality manager.
member of the quality group responsible for review and verification of batch documentation.
performs other tasks as assigned.

required education:
minimum of an associate's degree.

required years and area of experience:
minimum of 2 yrs. of experience with documentation control/records retention and training programs.

required skills:
proficient in microsoft office, specifically: word (ability to create/modify templates, knowledgeable about style formatting, hyperlinking and change tracking functions) and excel (ability to generate spreadsheets with applied knowledge of formula creation and maintenance, charting and formatting).
fundamental knowledge/experience in auditing principles, processes, procedures to lead and participate in walk-through, training, and internal audits.
the ability to speak in front of large crowds, produce and understand training materials, work closely with individuals and evaluate how well employees have learned
proficient in various modules within the document control and training system to work independently and provide support to other cls sites when necessary.

desired experience / qualifications / skills:
previous experience with the etq system is preferred.
experience working in an iso 9001/14001 environment or knowledge of the standards.
we require some project management understanding/skills.
fluency in the english language.

must be able to work both independently and in teams, even as a team leader when required.
must be able to multi task and work on separate projects concurrently to meet deadlines.
must be detailed oriented and focus on organization.
candidate must also demonstrate excellent written and verbal communication skills and the ability to be a team player/ work well with others.
