admin professional ii intermediate-level role job require candidates to:

  • provide administrative support to assigned individuals, teams and projects. the position works under minimal supervision, providing clerical, individual, meeting and record keeping support.
  • responsibilities for these jobs include but are not limited to:

  • clerical and individual/business area support
  • manages administrative processes and represents supervisor in discussions with others
  • investigates and resolves problems and manages individual calendars
  • prepares, reviews and sends correspondence, materials and reports
  • meetings, conferences, event planning
  • coordinates all necessary logistics for group, internal, team and external meetings with minimal supervision
  • identifies needs for contractual agreements in relationship to the event, processes, contracts and purchase orders
  • record keeping/information processing/reporting
  • creates and edits documents, databases, websites, sharepoint sites or other business software as required for the role
  • creates and maintains records, logs, files, and forms including project records, departmental documentation, and expenses
  • administrative processes

  • identifies potential process issues and opportunities for process improvements
  • implements solutions with area of responsibility, or recommends changes and escalates as appropriate
  • support project management process
  • makes adjustments to project plans based on completed work and changing priorities, changes due dates and brings attention to possible issues
  • monitors, updates and reports on projects goals, deliverables and schedules
  • coordinates and updates established elements of project plan and supports business processes
  • coordinates and assists in the development, organization, standardization and inventory of process maps and sops
  • revises, develops, streamlines and standardize processes and the development of templates
  • facilitates the transition of processes to qms; monitors and maintains once transition is complete
  • process outputs

  • calendars maintained and managed and travel arrangements made
  • information in databases and business software accurately maintained
  • documents created and edited to meet required specifications
  • process improvements identified and implemented
  • assigned projects managed and executed within established time and budget goals
  • flawless administrative support provided to assigned staff
