growth and opportunity

we have an exciting opportunity for an office manager and administrator to join our glasgow office. the successful candidate will provide a number of administrative tasks to various stakeholders while also being a visible brand ambassador for ricardo by being liaising with visitors and employees .

as a versatile office manager and administrator, you will often be the first point of contact for clients and visitors who attend our glasgow premises, located conveniently for the city centre. flexibility and a 'can do' approach are vital in this role; a proactive and positive attitude is as important as the skills and experience you bring.

this role offers a broad remit and requires liaison with a number of central teams, suiting someone who enjoys engaging with numerous stakeholders. while ensuring the smooth running of the office, including aspects of facilities administration, you will also deal with all deliveries and couriers, provide inductions for new starters, order office supplies, manage the meeting rooms to a high standard and assist the quality, safety, health & environment (qshe) manager with local administration. working as part of the central admin team you will make travel bookings and organise couriers where needed, using our online portals.

this is a role where reliability is essential and office working on a full-time basis 9am to 5pm monday to friday is required.

key responsibilities:

the ideal candidate will be prepared to take on a wide range of duties in support of colleagues. these will typically include:

* receiving visitors in a welcoming and professional manner

* acting as point of contact for maintenance contractors - e.g. including arranging and facilitating routine air conditioning, fire extinguisher maintenance, emergency light checks and portable appliance (pat) testing etc

* acting as point of contact with the landlord's agent to request, collate and file health & safety and environmental compliance data, including meter readings, lift maintenance records, fire system checks etc.

* acting as office representative on the company safety, health & environment (she) forum

* carrying out routine monthly health & safety checks, including water temperature checks - training will be provided

* liaising with the qshe manager

* carrying out office inductions for new starters

* ensuring meeting rooms are maintained to a high standard

* procuring catering for the office as well as specific meetings

* organising social events for the office

* postal services (to include dhl couriers)

* first aid and fire warden responsibilities

* entering contact details on our crm system

* working with the finance team to reconcile purchase card expenditure for office related purchases, e.g. catering and to raise purchase orders

* travel organisation and booking, using appropriate travel portals

* providing team holiday and sickness cover as part of a central admin team

* organising meetings and calendar management

about you

essential

* previous administration experience

* strong organisational skills, with the ability to plan and prioritise a varied workload, balancing the needs of stakeholders and effectively work unsupervised

* proven ability to take ownership of tasks

* procurement administration experience relating to catering and office supplies

* a comprehensive working knowledge of ms office

* excellent listening, written and verbal communication skills

* the ability to build effective working relationships at all levels across the business
