job purpose:

to manage the operational elements of poliform and / or kitchen installation department.

to manage, support and facilitate needs of the installations team, designers, clients, staff and suppliers to coordinate the complete installation service to the clients in a timely and cost-effective manner, maintaining excellent customer service.

fluency in english is essential

key responsibilities:

maintain, manage and improve procedural documentation for logistics.
stock movement
managing and entering key information into database.
communication and co-ordination with client and their sites.
diary co-ordination for project manager and contract dept & head of installations
ordering and booking of subcontract orders.

general duties

office management

arranging with the logistics manager, diary management including rota/absence/holiday and overtime
organise h&s tests and make sure that cscs cards are up to date
arranging training for install team, cscs/sssts/smsts and other courses
alongside the logistics manager, oversee office purchasing for stationary, uniform etc
ad hoc duties as required by the business

admin duties

diary management for poliform
issue monthly reports; for example, loss to poliform, overtime sheet.
to maintain, update and improve all electronic information relating to supplier deliveries/installations and any other information required by other departments
liaise with accounts department to ensure all projects are paid for prior to start date, compiling, and cross checking balances due with accounts team.
liaise with clients, their builders and other suppliers to ensure the smooth and problem free installations.
log information calls received, where required and maintain detailed and accurate reports.
communicate and provide information by relevant methods internally and externally to assist and enable organisational operational and effective service to connecting groups.
advise designers of missing information and update smart where needed.
advise head of installation of schedule and update information and paperwork when requested and when needs arise.

prepare rams & assist with health and safety documentation for development and larger poliform / kitchen installations

adhere to stated policies and procedures relating to health and safety as detailed in the employment handbook.

aftercare service for all goods outside their two-year warranty period. raising quotations for these jobs and organising visits with the client.

logistics duties

issue po’s to cover deliveries, extra labour, external installers and other trades
manage the movement of products in and out of the warehouse in accordance with organisational policy and procedure.
monitor goods delivered to tramo/cd/site
logging/tracking of appliances to warehouse for developments.
manage all movements of goods (across eu/some deep sea): making bookings, chasing collections and deliveries
prepare quotes: calculate weight, volume and cost of goods to be moved. liaise with head of installations.
