Project administrator - united kingdom, renfrew, renfrewshire

john tracey specialist welding, part of malin group ltd have an exciting opportunity for a projects administrator. this is a challenging and fast-paced environment requiring someone who can hit the ground running. we are looking for someone who can improve the current processes, is flexible, dependable, and has excellent communication and organisation skills. with a can-do attitude, you should be detail orientated, have excellent knowledge of microsoft office and an understanding of the project management life cycle to keep things running smoothly.

role and responsibilities

create and maintain comprehensive project documentation and reports
data input of timesheets onto netsuite system with accurate project code allocation
record project budget and project costs on a project control spreadsheet
primary initial contact for new enquiries and obtaining and recording new client information
prepare and provide documentation to internal teams and key stakeholders
raising invoices
create and update workflows
organise and maintain project folders
complete security clearance forms and handle sensitive information
prepare job packs for new projects
schedule regular meetings and record decisions
improve processes and create procedures
document lessons learned
complete procurement requisition forms
develop and maintain a contact management database
assist sales engineer with maintaining online presence on key websites
maintaining and updating sales and customer records
supporting the sales department with other administrative tasks, as requested including expenses.
receiving and processing purchase orders

contacting customers by phone or email to answer queries and obtain missing information.

required knowledge & skills

experience creating flowcharts, managing spreadsheets and creating presentations
strong organisation and time-management

an ability to multi-task and prioritise a busy workload
must be thorough, meet tight deadlines with attention to detail
act with honesty, integrity and accountability

maintaining a positive attitude and flexible approach

completion of clear and concise reporting
ability to work with confidential information
data input and analysis, preparing presentations, reports and progress updates.

qualifications and experience

three years’ experience as a project administrator or similar role
preferably business administration qualification or equivalent professional qualifications
experience of working in a fast-paced office environment
exceptional interpersonal and customer service skills
knowledge of pipedrive or other crm software a plus
proficient with microsoft office programs, especially word, excel and powerpoint
excellent written and verbal communication skills

work environment

primarily working in an office environment, however due to the nature of the business projects are completed either in a fabrication workshop or outdoors and as such a willingness to work in these environments is required. some site visits may be necessary as well as travel for meetings and client visits.
