reporting to the lead client services manager the purpose of the role is to manage, organise and support the document production team. the team is responsible for proofing, uploading and delivering client reports in a timely and efficient manner within timescales specified by the business and client.

key activities – team management

delegation of work to ensure that reports are proofed and issued within required timescales
ensure that team understand the requirements of their role
train the document production team in all administrative and report production activities to be undertaken
monitor the proofing activity to pick up on any issues as they arise
ensure that departmental procedures are updated and reviewed and new procedures developed
implement new procedures as required and introduce to/train the team
continually review how activities are carried out to look for ways to improve and streamline document production
to provide management information as required

key activities – document production

running weekly reports and chasing consultants to submit reports in time to meet client kpi’s
to produce information for team managers of reports due with clients each week – savills, water in particular
to raise issues with team managers where consultants are not submitting reports in a timely manner
ensure that reports are processed through the qa system in the most efficient manner following up with peer review as appropriate.
to produce report follow up for savills on a daily basis
to review new business generated and work with team to ensure that all activities are covered, updating team and changing work being undertaken as necessary to complete all activities
to ensure that all information on data-station and/or meridian is up to date and reports are up-loaded
to ensure that the information saved to alpha tracker/meridian is accurate
to feedback to data-station/meridian on issues/areas for improvement as they arise
to produce presentations, manuals and documents as required
raising invoices to clients from meridian

to deal with client enquiries in a positive manner presenting a professional image of the organisation at all times, solving queries or escalating as required
to attend internal and external meetings as required
to develop and maintain close working relationships with all teams within the organisation.
attend training as necessary for the role
to train document production team in use of it systems and provide on-going support and updates
to report it issues as they arise
to put forward suggestions to improve it systems.
to respond to emails in a timely manner ensuring accuracy and professionalism in content
to work within the company quality procedures raising suggestions for improvement with the quality manager
to undertake additional tasks and responsibilities as may be reasonably required

essential criteria

previous experience in a management role
willingness to learn new it
excellent communication skills in writing and by telephone
minimum 2 years demonstrable experience of proof reading
excellent it skills, to include all office products and specifically excel
logical with the ability to remain calm under pressure
experience of working with databases and it-systems
comfortable with dealing with clients both by telephone and email in a friendly, professional manner
