job summary

the operations experience specialist shall be responsible for processing customer orders and spare part procurements to support our customers in north america.  this position reports to the customer service manager.   

responsibilities:  

the functions of the position include but are not limited to:

  • respond to requests/inquiries from customers and/or assigned from customer service manager and provide timely response within one business day.
  • create and fulfill customer’s orders for spare parts using the sage system.  perform the purchasing functions of spare parts from third parties and company affiliates. arrange for import, receiving and shipment of spare parts and materials for customer use.
  • coordinate export/import freight and duty cost estimates and information regarding international shipments (via air, ocean and truck).  provide customer service to overseas affiliates regarding shipments.  maintain import/export cost data within the sage system. 
  • follow-up on open orders to assigned customers weekly.  expedite order with vendors to ensure on time deliveries.
  • when applicable, receive and check-in parts, matching receiving and inventory data to purchase orders and sales orders and updating inventory modules of sage erp system.  may involve sorting and placing inventory on racks, shelves or in bins according to predetermined sequence such as size or product code for items determined to be stored on site.  
  • administering control and inventory of field service tools, personal protective equipment and employee dosimeter badge program.
  • assisting in annual physical inventory of spare parts, including inventory located offsite or at third party locations.
  • performing other duties as assigned.
  • communicate with co-workers, management, clients, franchisees, and others in a courteous and professional manner and conform with and abide by all regulations, policies, work procedures, and instructions.
  • safeguard property and other assets owned or leased by the company.  this includes company properties, assets, financial data, trade secrets, trademarks, databases, business manuals and other intellectual property.   company assets and resources as well as corporate opportunities are to be used solely to pursue and achieve company goals and not for personal benefit.

    physical demands/work environment:

  • individuals may need to sit or stand as needed.  primarily involves working from a desk on a computer and on the telephone as well as physically – involves walking, climbing stairs and ladders, reach above shoulder heights, below waist and lifting up to 65 lbs.
  • the performance of this position may sometimes involve exposure to manufacturing areas which require the use of personal protective equipment such as personal harnesses, safety glasses with side shields and mandatory hearing protection as a minimum.
