they are looking for an administrative assistant with a strong background in environmental/biological sciences. the role would involve providing administrative support to the head of product to facilitate project delivery across all areas of the company. the ideal candidate would have a strong understanding of science, administration and project management.
key responsibilities
- proactively manage line manager's calendar & schedule appointments
- screen incoming correspondence and respond independently when possible
- organise programs, events, meetings or conferences by arranging facilities and caterers, issue information or invitations
- provide support to other managers in the organisation of complex meetings or teleconferences
- prepare technical/scientific reports for the line manager
- prepare client presentations for line manager
- collaborate with other admins & general affairs personnel
- prepare agendas, notices minutes, confidential correspondence, reports & other complex documents
- perform complex and confidential secretarial functions including processing of payment requests, other department forms and documents
- aid in the hiring process for new personnel by organising applications, interviews, and communicating with candidates
- arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings
job profile
- identify and resolve problems in a timely manner, gather and analyse scientific and non-scientific information skilfully and maintain confidentiality
- written communication - be able to edit work for spelling and grammar, present numerical data effectively and be able to read, interpret and summarise written reports
- be adaptable to changes in the work environment, manage competing demands and be able to deal with frequent change, delays or unexpected events
- dependable - be consistently at work and on time, follow instructions, respond to management direction and solicit feedback to improve performance
preferable
- at least 3 years of executive assistant experience in a scientific/pharmaceutical company
- msc in biological/environmental/natural science
- knowledge of product development cycles
- able to work under pressure
- passion for innovation and problem solving
- advanced skills in microsoft word, excel, powerpoint, outlook
- database management
desirable
- project management (prince2/agile/scrum)
- background in microbiology
- over 8 years of professional experience
- good statistical knowledge (r, spss, matlab or similar)&
