logistics and warehouse operations manager

job profile: translating the global strategy into a plan for the warehouse and logistics operations and to achieve targeted key performance indicators in line with business objectives and budgets. lead, direct and develop a team of warehouse and logistics operatives to deliver the best service standards

operational planning:

translate the strategy developed by the senior leadership team for the warehouse and logistics operation into an annual operational plan for the site/location.

in discussion with the clinigen ireland md consult with the senior operational leaders, agreeing service standards and kpis to deliver on.

ensure a working understanding of the business divisions business plans, translate these into improvements and determine any relevant additional investments to be made in the services and capabilities of the site/location.

planned preventative maintenance plan yearly managed and kpi s in place to ensure adherence and capex planning for aging assets to support future budget processes.

input to the leadership team all overheads and investments for the site/location to be included for approval in the overall function s budget.

agree all special projects that require resources on annual basis and develop a plan to execute agreed deliverables/service requirements.

bcp plan in place, tested on annual basis and updated as appropriate

operational management:

ensure the right level of resources for the site/location team to deliver on the objectives, kpis and agreed service standards, including;

periodically review shift patterns / resource plans / efficiencies and ensure coverage from 8 -7 pm.

accurate and efficient goods-in and dispatch processes

maintenance of site appearance and safety

effective management of 3pl s in line with contract and slas

ensure the warehouse layout and function is designed to provide the most efficient flow of work and projects through the facility and reviewed with business leaders on a regular basis, implementing change and improvements as required.

ensure that all stock/inventory contained in the warehouse site is managed to agreed standards and regular reporting with recommendations for improvement are made.

ensure that the processes and procedures are relevant and documented through promapp as per process ownership requirements and adhere to all relevant gxp/gmp/gdp/regulatory, quality, legal and environmental requirements and standards

provide monthly reporting to the leadership team on performance vs kpis and objectives with any recommendations for improvements and additional investments

manage and prioritise the warehouse and logistics team workload on a day-to-day basis, overseeing and monitoring workload allocation ensuring work is processed in line with kpis

enhances the c1 system by determining product handling and storage requirements; developing; implementing, enforcing and evaluating policies and procedures; developing processes for receiving product, equipment utilisation, inventory management, and logistics

ensure site adherence to all quality and compliance standards. including:

full site oversight and compliance with sop training requirements, complaints & deviations processes

maintenance of all records to support audit inspection and in conjunction with the responsible person, lead on inspections to the site from the hpra or other bodies

eu falsified medicines directive (directive 2011/62/eu)

to ensure that warehouse staff are adequately trained in and observe the principles of good distribution practice (gdp), ensuring the operational application of gdp is observed and performed by warehouse staff at all times

to monitor all key it systems ensuring they are operational and liaise with the relevant teams to support system updates

with the group health & safety manager, coordinate the roll-out of manual handling and fork- lift truck training as and when necessary

perform any remedial activities and/ or respond to any emergency call-out requirements e.g. fridge alarms outside of core working hours

to support other key functional areas within the business as required

people management

build and manage a high-performing, collaborative team that works in line with the group s values at all times and all team members have a relevant jd, objectives and development plans

in consultation with hr, ensure effective recruitment and retention strategies.

ensure the appropriate level of resource and expertise is in place and that this is structured in the most effective way to deliver the strategy

ensure that the team have clear objectives in place and that they understand how these relate to the kpis and the divisional and group level strategy

provide regular feedback to direct reports. proactively address underperformance

handling objectives, resolving conflicts and negotiating with others.

to ensure an effective communication cascade is established and maintained for all levels of information to be disseminated throughout the team

recognise and celebrate success on a team and individual level

skill requirements:

experience of operating in a similar role is essential

demonstrable experience of working autonomously and making decisions

cmi level 3 qualified (or equivalent) is highly desirable although not essential depending on experience

strong, up to date knowledge of cgmp

confident dealing with managers and employees at all levels

experience working in pharmaceutical/ healthcare/ life science industry advantageous

english and mathematics gcse grades a-c (or equivalent)

highly computer literate; experience operating with all microsoft officer software, oracle experience preferred
