position overview:

as work order administrator, you will actively support the work order control process within the operation to deliver an excellent customer experience whilst achieving operational & financial targets, ensuring parts and consumables are ordered for the required works.

the role provides additional support to the new equipment preparation team by answering incoming calls, opening work orders, ordering of parts, assisting with planning, resolution of disputes, timesheet entry and general administrative tasks.

job description:

major job functions for the work order administrator:

the work order administrator supports with the time sheet entry process (5%)

opening of jobs at the agreed time, control of work in progress and the closing of work orders (50%)

support the parts returns process by identification of surplus stock on jobs and ensuring these are followed through with the parts logistics team (10%)

support the efficient running of the service operation with general administration & additional duties as required. support the customer service manager / controller throughout the service process. provide support to the engineer to complete service documentation by providing job instructions (30%)

following & adhering to service processes and procedures to ensure consistent extraordinary customer service delivery, working to resolve any disputes quickly & effectively. (5%)

specific skills and experience for the work order administrator:

good organiser and communicator both verbal and written with excellent listening skills

ability to deliver quality outcomes against deadline through pace and pride in work

good knowledge of existing applications and systems

previous administration or customer services experience or similar role

work order administrator accountability:

accountable for time entry management.

drives work order process flow.

accountable for the accurate and timely inputting of data into our business systems and ensuring adherence to processes and procedures.

helps proactively with the need to keep the customer informed throughout the process.

proactively work to resolve customer disputes and issues.
