we are looking for a responsible and experienced personal assistant to provide personalized secretarial and administrative support in a well-organized and timely manner to our ceo.

key responsibilities

complex diary management for the ceo and wider team
creating detailed travel itineraries
extensive and efficient email correspondence
answering telephone calls in a timely fashion, taking clear and detailed messages
organising meetings, including booking venues, ordering refreshments and basic minute-taking
overseeing the creation of contracts and other documents
processing of expenses
arranging social events for both clients and the team
ad-hoc personal errands for the ceo
management of miscellaneous issues
readiness to be contacted out of office hours
covering reception on occasion if necessary
handling confidential matters with discretion
general admin tasks for the wider team

desired skills and experience

proven experience working as a pa
some financial admin experience would be advantageous
knowledge of office management systems and procedures
experience writing board reports
experience with reporting
excellent powerpoint, word and excel skills
billing experience

the successful candidate will be responsible for ensuring that they are aware of the security policies and procedures of the information security management system (iso27001) and how these specifically relate to the information resources they have access to.

all security events, whether suspected or actual, must be reported immediately to the information security manager on detection, without exception, including underperforming or broken processes that may lead to information leakage or a security breach.

responsible for ensuring that all activities are carried out in accordance with their requirements including:

ensuring that they fully understand and execute their responsibilities under the qms;
ensuring that they know and understand the company quality policy;
informing their department managers of any quality issues of concern.
ensuring that they adhere to best practice.
