about the role

"the role will be to provide administration support to the plant and structures programme supporting with numerous diverse infrastructure projects, which will be key in enabling the sites future mission."

key deliverables:

document control:

responsible for ensuring the programme office has a robust office management system and ensure all programme resources work to it.

establish, manage and monitor the projects document register for the programme.

coordinate any document management system with the magnox corporate centre as and when required

support the programme needs for roll out of any required new or updated it or office management systems.

programme management support:

monitor the programme teams time booking to ensure all time booking is completed prior to deadlines

monitor the requirements for any general training refreshers, chase individuals and provide regular updates to the programme leads

encouraged to actively participate in reporting safety incidents or submitting reports for others.

support the programme workforce with no it access to complete their time booking and screen training

ensure circulation of reports, general notices and briefs to the programme team, including those without it access

maintain and monitor the programme office noticeboards and office notices to ensure they are relevant and current.

support the programme leads in promoting and sharing company initiatives and safety bulletins

ensure team sqep and training profiles are maintained.

purchasing:

responsibilities for placing orders through the company system for all office consumables and maintain the office stocks.

support programme staff and placing of orders through the company framework systems for decommissioning tools and equipment, including consumables and also ppe. ensure that all requests for materials have all the required supporting quality information prior to placing orders.

ensure that all order deliveries are tracked and delivered to the office or site stores.

responsible for establishing and maintaining programme stationary requirements.

office management:

ensure the programme team adhere to the clear desk policy and support the requirements to comply with gdpr.

maintain and manage the office layout, provide desk allocation and maintain the 'hot desk' provision.

maintain the office it provision in coordination with the it support office.

hold the authorisation for it data management, password reset and other it related matters for the programme.

monitor and ensure the requirement for portable appliance electrical testing is kept up to date.

responsible for managing all programme visitors to site, making all arrangements for visitor security clearance and briefs.

to be authorised to provide the site access induction (host brief) for all programme visitors.

responsible for booking rooms and catering (where required) for all programme visits.

to support with escorting visitors whilst on site and ensuring the general welfare of visitors.

ensure the requirements for office and messing facilities were retained in good order.

support the programme leads with other duties as and when required.

support as office muster marshal.

qualifications & experience:

a good standard of general education with gcse pass in english and mathematics or equivalent level of literacy and numeracy.

experience of office-based work.

good knowledge of word and excel.

please be aware this role holder requires security clearance, or the ability to obtain said clearance.

there is a requirement to live within a commutable distance to the sites where the role is based. for central/multi-site roles, we have various hubs across the uk and can be flexible with base location.
