position overview:

provide administrative and operational support for all facility and management team, will also help with construction, operations and tenant improvement projects from time to time for commercial buildings and shopping centers managed by our property management company

assist general manager in all aspects of major repair and maintenance projects, owner and tenant construction projects including file organization, tracking of expenses, management of information flow and documentation between the owners, consultants, tenants, and contractors. essential functions:

  • work with team to help coordinate effective plans and schedules for completion of projects following a logical pattern.
  • will read over contracts and lease agreements.
  • able to put together memos, letters, and emails.
  • assist with review of lease terms to ascertain landlord and tenant requirements and to plan and schedule work to be completed by various parties.
  • assist general manager in following up with tenants to assure construction improvement lease requirements are met and conforms to lease guidelines.
  • obtain and forward tenant working drawings to landlord’s consultants and coordinate communication amongst all parties.
  • assist in administration of construction contracts and in obtaining all necessary permits and schedules from contractors.
  • assist in the management of revisions, changes, and additions to construction contractual agreements with architects, consultants, suppliers, contractors, management, and owners.
  • take actions or report to appropriate gm for resolution of any situation that may arise before, during, and after projects.
  • attend, as necessary, budget financial, leasing status, staff, and other essential conference calls and meetings for all properties.
  • prepare reports and updates to gm relating to status of and any necessary modifications to ongoing projects, tracking costs vs budgets, and other essential data management involving major repairs and construction.

    experience and skills necessary for success in this position:

  • diligent, ability to work as a team and willingness to learn.
  • experience in building and construction administration and commercial property management preferred but not required.
  • ability to follow logical pattern; identify the strengths and weaknesses of alternative solutions, or approaches to problems.
  • attentive, excellent verbal and written communication skills.
  • proficiency in ms office and other required computer software.
