project support officer - the role:

with a wide variety of tasks and a genuine opportunity to develop, particularly in the fields of planning and project/performance/benefit management, this is a great time to join the planning and performance team at the commission.

the role will provide support internally to our project managers and the planning and performance team and will involve helping to deliver project management and pentana system training to improve skills across the organisation. the role will also provide support for our internal audit recommendation programme of work.

we have recently implemented a new system and processes for project and performance reporting and the successful applicant will be working with the planning/performance team to help with this.

project support officer - key responsibilities:

- provide advice and support to colleagues on the commission’s programme and project management (ppm) framework, process and procedure

- provide support and guidance to project teams during project delivery, including delivering ppm training

- manage and monitor maintain the planning and performance system (pentana risk), including audit checks and regular maintenance

- provide pentana (our planning and performance system) support and guidance, including delivering training and updating how-to guides

- contribute to monthly management and quarterly performance reporting to the executive team and the commission board

- contribute to development of the annual report, corporate plan, business plan and operational plans, working with teams across the organisation

- create, amend, format and circulate documents as appropriate. this may include creating charts and tables, collating data, creating process maps for corporate documents and management information, preparing data visualisations for inclusion in corporate documents, etc.

- work with colleagues across the organisation to provide support for the internal audit log, development of internal audit reports and coordination of evidence to demonstrate completion to the internal and external auditors.

- support the management of complaints at all stages, working with senior advisers and senior management to resolve complaints and investigations within agreed timescales

- support the update and maintenance of the complaints policy, process and templates; and assist in annual reporting of complaints to commission board

- coordinate project, performance and team meetings (from creating agendas all the way to following up on actions from the meeting); and maintain the team intranet information page

- support the rest of the planning and performance team, working flexibly and acting in absence of other team members to cover wider duties assigned to the team including contributing to development of and supporting the risk management framework

project support officer - you:

ideally the candidate will have a good academic record, some experience in a project or performance environment and should either have or be willing to work towards a qualification in this area.

they should be able to evidence their ability to make things happen and to take responsibility when they are given the opportunity. the role requires proficient it skills – proven experience of using microsoft office including word, excel, powerpoint, outlook and some experience of ms project would be helpful but training will be given. ultimately being quick to learn, proactive and with a desire to add value are the key requirements of the role.
