receive and screen telephone calls received through the general office line, provide assistance while directing calls, check and distribute voicemail received through general mailbox.
greet visitors and direct outside inquiries to proper haseko personnel.
compiling reports and furnish necessary information.
assist in scheduling and planning departmental meetings and luncheons, note taking and development and distribution of agendas.
organize and maintain files.
coordinate travel arrangements.
code and process invoices.
provide administrative assistance to development team on an as needed basis
daily mail distribution to all departments
business card processing and ordering
real property taxes- preparation, submission and negotiation, if necessary.
contract administrator – 1) prepare and obtain approval and execution of contracts and addenda.; 2) e-mail executed contract to vendors for their execution.; 3) track all contracts sent to vendors and follow up if required. post fully executed contract to access database as well as distribute to project manager and accounting.
maintain company office supply inventory levels; anticipating needed supplies; placing and expediting orders; verifying receipt of supplies.
other duties may be assigned to meet departmental needs.
