Purpose of role: we are seeking a dedicated and versatile individual to fill the role of assistant admin/office support assistant. the primary responsibility of this position is to provide administrative support to the office while also assisting with various tasks related to office maintenance and organization. the ideal candidate will possess excellent organizational skills, attention to detail, and the ability to multitask effectively.key areas of responsibilities:• administrative duties:o assist with the management of office operations, including answering phones, scheduling appointments, and responding to emails.o maintain office supplies inventory by checking stock levels, anticipating needed supplies, placing and expediting orders, and verifying receipt of supplies.o prepare and modify documents, including correspondence, reports, drafts, memos, and emails.o assist in the preparation of presentations and reports as needed.o handle sensitive information in a confidential manner.• office maintenance:o ensure the cleanliness and tidiness of the office premises on a daily basis.o perform basic office maintenance tasks such as cleaning, organizing, and arranging furniture.o monitor and maintain office equipment, including printers, copiers, and fax machines.o liaise with external service providers for office maintenance and repairs when necessary.• support to staff:o assist staff with administrative tasks as needed, including photocopying, scanning, and filing documents.o provide support during meetings and events by setting up conference rooms and arranging refreshments.o assist in handling incoming and outgoing mail and deliveries.• other duties:o perform errands outside the office, such as purchasing office supplies or running other necessary errands.o assist in any other administrative tasks assigned by the management.skillswhat you need• diploma in administration or equivalent qualification required.• proven experience in an administrative role is preferred.• strong organizational and time management skills.• excellent verbal and written communication skills.• ability to multitask and priorities tasks effectively.• attention to detail and accuracy in work.• ability to work independently with minimal supervision.• must be reliable, punctual, and trustworthy.• valid driver's license and a clean driving record (if required for errand tasks).• candidates with transferable work permits will be preferred.
